Address book -- how to Document ID: 1310HQTutorial: How to Use the Address Book How to use the Address Book ------------------- You can use the Address Book in two ways: 1. Short, easy-to-remember entries for individual people: Example: Nickname Address George gsmith@mit.edu 2. One entry for a whole list of addresses: Example: Nickname Addresses Friends gsmith@mit.edu, jdoe@concentric.net, 1324235@compuserve.com, melissa@ix.netcom.com A message sent to "George" would go to gsmith@mit.edu. A message sent to "Friends" would go to all four addresses on that list. This is all explained in the Address Book section of the manual. Here's how to set up an Address Book entry: 1. Open the Address Book window. 2. Click the "new" button. 3. Enter the name of the entry, say, "Friends". 4. DON'T make it an address book file; DO put it on the recipient list if you plan to use it frequently. Click OK. Note: Refer to document 1532HQ for the recipient list. 5. In the right-hand window, click the Addresses tab, and click the cursor in the white area. Then type or paste the e-mail addresses of the people you want on the Friends list. The addresses may be separated by commas or carriage returns. 6. If you want the list of e-mail addresses to be concealed from the recipients: Click the Info tab and type something in the Name field. Then, when you send something out to this address book entry, all the recipients will see is what you typed in the Name field. Note: this only works if you have more than one e-mail address in the list for this entry. 7. Close the Address Book window, and agree to save changes. Note - you can cut and paste into the address book, as long as the file that you are cutting from is an ascii text file. Now, to use the Address Book entry, either: 1. Open a new message and type "Friends" (no quotes) in the To, CC, or BCC line. or 2. Open the Address Book window, click on the nickname to highlight it, and click on the To, CC, or Bcc button. A new message window will open with the nickname in the appropriate line. Note: If you selected "Put it on the recipient list" when you made the entry, you have a third option: go to the Message menu and choose "New Message To..." The Address Book entry will show up in the pop-up menu there; select it, and a new message will appear, already addressed.
